1. Who we are
GeoMoto Adventure Touring provides premium motorcycle expedition touring and related customer tools (bookings, document verification, payments coordination, and notifications). For privacy requests, contact us using the details in Section 14.
We act as the data fiduciary / controller for personal data we collect through the Services. Payment card data, if processed by a third-party payment provider, is handled by that provider under its own terms.
2. Data we collect
2.1 Information you provide
- Account data: name, email address, password (stored hashed by our authentication provider), and profile details.
- Booking data: tour selections, rider experience, sizes, preferences, emergency contacts, travel dates, and related questionnaire answers.
- Identity & travel documents: passport, driving licence, insurance certificates, visas, medical declarations, and other files you upload for expedition readiness.
- Communications: messages sent via contact forms, email, phone, WhatsApp, or in-app notifications.
- Payment-related information: billing name, payment status, amounts, invoices, and transaction references (card numbers are not stored by GeoMoto if handled by a payment processor).
- Consents & signatures: acceptance of Terms, risk acknowledgements, and typed digital signatures.
2.2 Information collected automatically
- Device & usage data: IP address, browser type, device identifiers, pages viewed, referring URLs, and approximate location derived from IP.
- Log & security data: authentication events, error logs, and anti-abuse signals.
- Push notification tokens: if you enable browser or device push notifications.
2.3 Information from third parties
We may receive limited information from authentication providers (for example Google Sign-In), payment processors, hosting/cloud providers, partners (hotels, vehicle suppliers), lead riders, and insurers or agents when needed to fulfil a booking.
3. How we use data
We use personal data to:
- create and manage accounts, bookings, and customer dashboards;
- verify identity, licences, insurance, and expedition readiness;
- coordinate tours, bike allocation, lodging, logistics, and support;
- process deposits, balances, refunds, and invoices;
- send transactional emails, SMS/push alerts, and service notices;
- respond to enquiries and provide customer support;
- improve safety, operations, website performance, and fraud prevention;
- comply with law, enforce our Terms, and protect GeoMoto, riders, staff, and partners;
- send marketing only where permitted by law and your preferences (you may opt out of non-essential marketing).
4. Legal bases (where applicable)
Depending on your location and applicable law (including India’s Digital Personal Data Protection Act, 2023, and other privacy laws), we process data based on one or more of: your consent; performance of a contract (booking/account); legitimate uses necessary for operations and security; and compliance with legal obligations.
You may withdraw consent where processing is consent-based, without affecting processing already lawfully completed. Withdrawal may prevent us from providing parts of the Services (for example document verification or booking completion).
5. Sharing & processors
We do not sell your personal data. We may share data with:
- Service providers that host, authenticate, store, email, analyse, or process payments (including cloud/Firebase infrastructure and similar vendors) under contractual confidentiality and security obligations;
- Operational partners reasonably necessary for your expedition (for example accommodation providers, motorcycle suppliers, local operators, guides/lead riders, and emergency contacts);
- Professional advisers (legal, accounting, insurance) under confidentiality;
- Authorities when required by law, court order, or to protect rights, safety, and property;
- Business transfers in connection with a merger, acquisition, or asset sale, subject to appropriate safeguards.
6. Documents & sensitive data
Expedition operations may require identity, licence, insurance, and health-related declarations. Provide only documents we request. By uploading, you confirm you are authorised to share that information and that it is accurate and current.
We treat identity and travel documents as confidential operational data. Access is limited to authorised staff and partners as needed for verification and tour delivery. We may reject incomplete, illegible, expired, or fraudulent documents and may cancel or refuse participation where verification fails.
7. Cookies, local storage & tracking
We use essential cookies/local storage for authentication, security, preferences, media settings, and site functionality (including Progressive Web App behaviour). We may use analytics or similar technologies to understand usage. You can control cookies through your browser; disabling essential storage may break login, bookings, or notifications.
8. Retention
We retain personal data only as long as needed for the purposes described above, including:
- account and booking records for the duration of the customer relationship and a reasonable period afterward for disputes, audits, tax, and legal claims;
- uploaded documents for verification and expedition administration, then deletion or anonymisation when no longer required, subject to legal holds;
- marketing preferences until you unsubscribe or your account is closed;
- security logs for a limited period for investigation and abuse prevention.
9. Security
We implement administrative, technical, and organisational measures appropriate to the nature of the data (including encrypted transport, access controls, and authenticated portals). No method of transmission or storage is 100% secure. You are responsible for safeguarding account credentials and for notifying us promptly of suspected unauthorised access.
10. International transfers
GeoMoto is based in India. Our vendors and partners may process data in other countries. Where we transfer personal data internationally, we take steps designed to provide an appropriate level of protection consistent with applicable law.
11. Your rights
Subject to applicable law, you may request access, correction, updating, deletion, withdrawal of consent, grievance redressal, or other rights available to you as a data principal / data subject. To exercise rights, email us using Section 14. We may need to verify your identity before acting on a request.
We may decline requests that are unlawful, frivolous, disproportionately burdensome, or that would impair our ability to perform a contract, establish/exercise legal claims, or meet legal obligations.
12. Children
The Services are intended for adults who can lawfully enter contracts and ride motorcycles under applicable licensing rules. We do not knowingly collect personal data from children under 18 for account creation. If you believe a child has provided data, contact us to request deletion.
13. Changes to this Policy
We may update this Privacy Policy from time to time. The “Last updated” date will change when we do. Material changes may be notified via the website, email, or in-product notice. Continued use after the effective date constitutes acceptance of the updated Policy where permitted by law.
